Wedding Coffee Cart Guide: Everything to Know (2026)

Wedding Coffee Cart Guide: Everything to Know (2026)

A coffee cart might be the most-remembered detail at your wedding. Not the centerpiece, not the favors — the moment a guest wraps their hands around a fresh latte during cocktail hour, or grabs an espresso to power through the dance floor at 10pm.

If you're considering a mobile espresso bar for your wedding, this guide covers everything: when to serve it, what it costs, menu ideas, how many guests one cart can handle, and how to book. It's based on the hundreds of weddings we've served across Southern California at 58 Hester.

Why Add a Coffee Cart to Your Wedding?

A wedding coffee cart does more than serve coffee — it fills the gaps an open bar can't:

In short: it's part hospitality, part entertainment, and part decor, all in one.

When Should You Serve Coffee at Your Wedding?

There's no single right answer — it depends on your timeline. The most popular moments:

Cocktail Hour

The classic choice. While you're off taking photos, guests have something to sip and gather around. A coffee cart pairs beautifully with (or gives a non-alcoholic alternative to) the bar.

During or After Dinner

Coffee alongside dessert is a timeless combination — and a barista bar elevates it far beyond a carafe of drip.

Late-Night Pick-Me-Up

Our most-requested slot. Around the time energy dips, a fresh espresso or oat-milk latte gets everyone back on the dance floor. Late-night coffee also pairs perfectly with a snack service.

Morning-After Brunch

If you're hosting a next-day brunch, a coffee cart is a guest favorite — especially after a big night.

Many couples book us for two windows (cocktail hour + late night). We'll help you plan the timing around your day.

How Much Does a Wedding Coffee Cart Cost?

At 58 Hester, full-service wedding coffee catering starts at $550. That covers a professional barista, commercial espresso equipment, specialty beans, a full drink menu, milks, syrups, cups, and complete setup and cleanup.

From there, your total depends on guest count, how many service windows you want, hours, and custom touches like monogrammed cups or a signature drink. We break the full pricing picture down in our coffee catering cost guide and in our LA & OC catering cost blog post.

The best way to get an exact number for your date is a quick custom quote — we usually turn them around the same day.

How Many Guests Can One Coffee Cart Serve?

A single cart with one barista comfortably serves most weddings up to around 150 guests within a service window. For larger guest counts — or if you want short wait times during a tight cocktail hour — we add a second barista or cart so no one stands in line while the toasts are happening. When you request a quote, tell us your guest count and we'll recommend the right setup.

Wedding Coffee Bar Menu Ideas

Your menu can be as classic or as creative as you like. Popular options:

We'll build a menu that fits your theme, your season, and your guests.

Custom Branding: Making the Cart Yours

For weddings, the details are everything. We can personalize custom cups with your monogram, names, or wedding date; a styled menu sign that matches your color palette; signature drink names unique to your celebration; and cart styling with florals or decor to match your venue. These touches turn a coffee cart into a seamless part of your wedding design — and they photograph beautifully.

What the Cart Needs at Your Venue

Good news — our carts are self-contained and low-maintenance for you and your venue. We need about a 5x5 ft area per cart, one standard outlet (we can bring a generator for garden, beach, or estate venues without easy access), and a clear path to roll the cart in. We're fully insured and provide certificates of insurance (COIs) to your venue — most SoCal wedding venues require this, and we handle it routinely.

When Should You Book Your Wedding Coffee Cart?

For peak wedding season (spring through fall) and popular dates, we recommend booking 4–8 weeks out or more to secure your date — and earlier if you want custom branded cups, which need a few weeks' lead time. That said, reach out anytime; we'll always check availability for your date.

Serving Weddings Across Southern California

We bring our mobile espresso bar to weddings throughout Southern California — Los Angeles, Orange County, San Diego, Riverside County, and the Coachella Valley. From coastal venues and garden estates to ballrooms and desert resorts, we've likely served a wedding near yours. See our Wedding Coffee Catering services →
